Budget & Operations Analysis

For property management companies, real estate investors and property owners, and the contractors and service providers who keep properties running. Other service based small businesses are welcome.

When costs run over budget, the cause is usually in how the work gets done. We find it and show you what to change.

WHAT THIS SERVICE IS

When a budget runs over, the number is only the starting point. Utilities climb because of how units are checked between tenants. Maintenance costs rise because of how work orders are handled and how vendors are chosen and priced. Job costs slip because of how work is estimated, scheduled, and purchased for. The cause sits in the operation, and so does the fix.

Budget & Operations Analysis connects the two. We compare what you planned to what actually happened, follow each gap back to the process, schedule, vendor, or habit behind it, and recommend the specific operational changes that bring costs back in line, with the expected savings of each. The goal is to get more from the people, vendors, and resources you already have.

You bring the budget, a set of reports, or a cost you cannot quite explain. Your data may live in QuickBooks, property management software such as Yardi or AppFolio, field service software such as ServiceTitan, Housecall Pro, or Jobber, utility statements, spreadsheets, or invoices. We pull it together, find the cause, and give you clear, prioritized recommendations with visuals that are easy to share with your team, owners, investors, or partners. Where it helps, we also build the working spreadsheet your team keeps using after the analysis is done.

Questions We Help You Answer

  • Where is the money going, and why are our costs higher than budgeted this year?
  • Which properties, jobs, or services are over budget, and which are coming in under?
  • Does what we use match what we are billed, such as utilities, materials, and fuel?
  • Are we paying vendors consistently across properties and locations?
  • Why do work orders, unit turns, or jobs cost as much as they do?
  • What should next year’s budget, or this project’s budget, look like?
  • Can we trust the reporting we receive?

How an Analysis Works

  1. Look. We compare your budget to your actual costs, and your usage to what was billed and paid, to show where the gaps are and how large they are.
  2. Find. We trace each gap to its operational cause through your data and short conversations with your team, covering work orders, schedules, vendor terms, approvals, and handoffs.
  3. Fix. We recommend the operational changes, prioritized by savings and effort, and set up the measures that show whether the gap is closing.

Every analysis follows Lean Six Sigma practice: define the problem clearly, measure what is actually happening, find the root cause, and recommend changes that hold. Data is validated before it is analyzed, so the findings rest on numbers you can trust.

How It Applies To Your Business

  • Property management companies. Maintenance and vendor costs, unit turns, work order turnaround, and clear, consistent numbers to share with the owners you report to.
  • Real estate investors and property owners. How each property is performing against its budget: occupancy, vacancy loss, delinquency, renewals, expenses, and net operating income, with early flags for slow turns, budget overruns, and deferred maintenance.
  • Contractors and service providers. Job profitability against estimates, pricing consistency, materials and fuel costs, and scheduling that affects cost, for HVAC, plumbing, electrical, roofing, cleaning, landscaping, inspection, and turnover companies.

Choose Your Scope

  • Focused Analysis. One cost category, property, or area, such as utilities across your properties, maintenance at a single site, or vendor pricing across a portfolio. A concise report with an executive summary and visuals.
  • Full Budget & Operations Analysis. A complete review of your company or portfolio across budget, operations, vendors, and reporting, with a prioritized plan.
  • Budget Development. A budget built from your history, your goals, and your actual costs, for the year or for a specific project, with a simple way to track it.
  • Spreadsheet Tool Build. An interactive spreadsheet with formulas built for how your business tracks costs, such as a budget tracker, a utility usage versus billing comparison, a vendor price comparison, or a job cost tracker, with simple instructions. Available on its own or added to any analysis.
  • Performance Review. Available after an analysis or budget. A monthly or quarterly review that tracks the same measures, shows what has changed, and flags what needs attention next.

Deliverable

A written report in two parts: what your numbers show, and what to change in your operations. Each recommendation includes its expected impact, who owns it, and how to track it. The analysis comes with a working spreadsheet tool, with formulas built in and simple instructions, so your team can keep tracking the same measures. Performance Reviews then confirm whether the gap is closing.
