Scope confirmed after Data Readiness Assessment
Ongoing diagnostic eyes on your business. Once we know how you operate, we stay in your corner reviewing your data every thirty days, tracking what’s shifting, flagging what needs attention, and advising on what to do next. You keep moving. We keep watching.
The Operational Diagnostic tells you where you are. The Advisory Retainer makes sure you don’t drift back.
Most businesses do the hard work of identifying their problems and then return to the same pace that created them. This engagement exists to prevent that. Every month, you get a structured outside review of your numbers, your operations, and your trends from a strategic partner who is continuously building context on your business and can tell the difference between normal fluctuation and something worth paying attention to.
There is no lag between what’s happening in your business and when you hear about it. By the time you’re on your monthly call, we’ve already reviewed the data, drawn conclusions, and prepared what you need to make informed decisions going into the next thirty days.
We track what your diagnostic identified as the critical indicators for your specific business financial trends, workflow performance, KPI movement, operational patterns, and team execution metrics. We don’t run a generic report. We watch what matters for you.
Over time, this creates something valuable beyond the monthly findings: a documented performance history of your business that most organizations never build intentionally. Patterns become visible. Progress becomes measurable. Decisions become easier to defend.
The Advisory Retainer is analytical advisory work. Each month, we review your data, apply the same diagnostic lens from the initial engagement, and give you clear direction on what the numbers are telling you and where to focus. The relationship deepens over time as we build more context on your business which means the guidance gets sharper, not more generic.
You bring the decisions. We bring the analysis. That’s the partnership.
This engagement is right for you if you’ve completed a diagnostic and want to maintain the momentum. It’s also right for you if you are leading a growing organization, managing multiple teams or properties, or operating in an environment where things change quickly and you need someone watching the indicators you don’t have time to watch yourself.
Commitment
Engagements begin with a three-month contract. At the end of the initial term, clients have the option to renew for six or twelve months. Renewal terms are discussed based on the needs of the partnership and where the business is headed.
The three-month minimum exists for a reason. One month of data tells us something. Three months tells us a pattern. That’s when the work becomes most valuable and most of our retainer clients will tell you the same.
Before any dashboard can be built or KPI framework established for your operations analysis, we conduct a Data Readiness Assessment as the first step of every engagement. This is not an assumption that your data is clean or complete; it is a structured process to understand exactly what you have, what condition it is in, and what we need to build or capture before analysis can begin.
For operations analysis, we will need access to your operational reporting, your financial data (budget documents, expense records, AP/AR), and the platforms your team uses to run the business. We assess all three together because operational performance is rarely visible from any one source alone
Effective analysis requires access to your actual systems and data. At the start of every engagement, we will request read-level access to the platforms and reports relevant to your analysis scope. This may include your property management system, accounting platform, project management tools, communication platforms, or existing spreadsheet reports — depending on what the engagement covers.
We treat all data and system access with complete confidentiality. A mutual non-disclosure agreement is standard on every engagement. We do not modify your data or systems without explicit instruction and approval, and we document every access request and action taken.
Your team is already pulling reports from your platforms; manually, automatically, or a mix of both.
We audit what exists, evaluate its accuracy and completeness, identify gaps in what is being tracked, and build forward from your current reporting foundation.
Your platforms are capturing operational or financial data, but it has never been structured into consistent reports or dashboards.
We map what data exists across your tools, assess its quality and consistency, and build the reporting layer and dashboard on top of what is already being captured.
Some of the data needed for meaningful analysis is not being tracked at all; it exists in emails, spreadsheets, memory, or not at all.
We identify what is missing, design a data capture process within your existing tools, and establish the collection standard before building any reporting or dashboard.
Note: The Data Readiness Assessment is included in every analysis engagement at no additional cost. It is the foundation of every deliverable we produce — because analysis built on incomplete or inaccurate data is not analysis. It is guesswork.
This service is designed for real estate business owners, operators, and leadership teams who want an honest, outside-in view of how their organization is actually performing — not just how it feels from the inside.
It is especially valuable for companies at a growth inflection point, going through leadership transitions, or struggling with consistency and accountability across teams or locations. If your financial data is telling a story your leadership has not fully read yet, or if your technology is creating more manual work than it eliminates, this engagement will surface both.
